Hybrid meetings work best when everyone can see, hear, and participate clearly, whether they are sitting in the room or joining remotely. Meeting Owls help create that experience by combining a 360-degree camera, microphones, and speakers in one center-of-room device.
However, the Meeting Owl is only one part of a successful hybrid meeting setup. The complete system depends on the room, number of participants, conferencing platform, host device, display, internet connection, and any additional coverage the meeting requires.
Renting a Meeting Owl is not always as simple as placing one camera on a conference table.
The Meeting Owl still needs power, an internet-connected device running the meeting, and—in many rooms—a television or display. Depending on the room, the complete setup might also require a laptop, USB-C iPad, powered USB-C hub, Expansion Mic, second Meeting Owl, Owl Bar, cables, networking equipment, and technical support.
This guide explains:
- Which Meeting Owl model to use
- Whether to use a laptop or iPad
- Which conferencing applications are supported
- What equipment is required
- How to control the Owl wirelessly
- When to add microphones, cameras, or displays
- How to configure a complete Meeting Owl rental package
What Does a Meeting Owl Do?
A Meeting Owl combines several pieces of conference-room technology into one center-of-room device:
- 360-degree camera
- Microphone array
- Built-in speakers
- Automatic speaker detection
- Digital speaker framing
- USB connection to a meeting computer or compatible iPad
- Compatibility with common video-conferencing platforms
The Meeting Owl is normally placed near the center of the conversation. Its 360-degree camera captures participants around the room while its software detects and displays the people who are speaking.
However, the Meeting Owl does not run Zoom, Microsoft Teams, Google Meet, Webex, or another conferencing platform by itself.
A separate host device must run the meeting. Depending on the Owl model, that host can be:
- A laptop
- A compatible USB-C iPad
- A dedicated conference-room computer
The basic laptop setup is:
Meeting Owl → laptop running the meeting
A basic iPad setup is:
Meeting Owl 4+ or 5 Pro → compatible powered USB-C hub → USB-C iPad
Meeting Owl 3 vs. Meeting Owl 4+ vs. Meeting Owl 5 Pro
The three models share the same basic center-of-room concept, but they do not have identical capabilities.
The Meeting Owl 3 is a practical option for basic laptop-based meetings where 1080p video is sufficient.
The Meeting Owl 4+ adds 4K video and is a strong general-purpose option for temporary board meetings, conferences, training sessions, and hybrid collaboration.
The Meeting Owl 5 Pro adds features such as native Ethernet, built-in HDMI passthrough, and expanded wired and wireless pairing options. It is the best option for premium conference rooms, enterprise deployments, and single-cable laptop setups.
What Comes in a Complete Meeting Owl Rental Package?
The Meeting Owl may be the most visible part of the system, but it is only one component.
Required equipment
A basic package generally needs:
- Meeting Owl
- Meeting Owl power supply
- Laptop or compatible USB-C iPad
- Charger for the laptop or iPad
- Data-capable USB cable
- Conferencing application
- Reliable internet connection
- Power strip
- Extension cord
Equipment that may also be needed
Depending on the room and meeting format, the rental may require:
- Large TV or display
- Display stand or mobile cart
- HDMI cable
- Powered USB-C hub
- USB-C-to-USB-A adapter
- Approved USB extension cable or adapter
- Ethernet adapter and network cable
- Wi-Fi hotspot
- Expansion Mic
- Second compatible Meeting Owl
- Owl Bar
- Whiteboard Owl
- Smartphone or tablet running the Meeting Owl app
- On-site installation and technical support
A complete rental package should be designed around the room rather than treating the Meeting Owl as an isolated camera.
Meeting Owl Laptop Setups
A laptop remains the most universally compatible way to run a Meeting Owl meeting.
Basic Laptop Setup
Meeting Owl → USB cable → laptop
The laptop runs the conferencing application and provides the internet connection. The Meeting Owl functions as the camera, microphone, and speaker.
This configuration works well for:
- Small meeting rooms
- Portable meetings
- Temporary offices
- Meetings where the laptop screen is large enough for the in-room participants
Both the Meeting Owl and laptop need power.
Meeting Owl 3 or 4+ With a Display
Meeting Owl → USB → laptop → HDMI → TV/display
The laptop connects separately to the Meeting Owl and room display.
The Owl handles the room’s camera, microphone, and speakers. The display shows remote participants, presentations, and shared content.
This setup works well for:
- Board meetings
- Executive meetings
- Conference rooms
- Training sessions
- Client presentations
- Meetings with several remote participants
Meeting Owl 5 Pro With HDMI Passthrough
TV/display → HDMI → Meeting Owl 5 Pro → USB-C → laptop
The Meeting Owl 5 Pro has built-in HDMI passthrough. The display connects to the Owl, and the user connects the laptop to the Owl with one USB-C cable.
That USB-C connection handles:
- Meeting Owl camera
- Meeting Owl microphones
- Meeting Owl speakers
- Connection to the room display
This is particularly useful for:
- Bring-your-own-device meeting rooms
- Executive meetings
- Premium conference-room rentals
- Meetings where several presenters will connect different laptops
- Rooms where fewer cables and faster setup are priorities
Which Conferencing Apps Work on a Laptop?
Meeting Owls work as standard USB camera, microphone, and speaker devices with most major laptop-based conferencing platforms.
After connecting the Owl, the user should select Meeting Owl as the:
- Camera
- Microphone
- Speaker
The customer’s conferencing account and license determine whether features such as recording, webinars, breakout rooms, interpretation, captions, and large participant counts are available.
Can You Connect a Meeting Owl to an iPad?
Yes. The Meeting Owl 4+ and Meeting Owl 5 Pro can connect to a compatible USB-C iPad, allowing the iPad to run the meeting instead of a laptop.
The Meeting Owl 3 does not support an iPad host connection.
The iPad must:
- Have a USB-C port
- Run a current version of iPadOS
- Support external UVC cameras
- Use a conferencing application that accepts external USB video and audio
- Remain connected to power during longer meetings
Because an iPad only has one USB-C port, a powered USB-C hub is needed to connect the Meeting Owl while keeping the iPad charged.
The hub must support 20V USB-C Power Delivery.
Which iPads Can Be Used?
Potentially compatible USB-C models include:
- iPad, 10th generation or newer
- iPad with A16 processor
- iPad mini, 6th generation or newer
- iPad Air, 4th generation or newer
- iPad Air with M-series processors
- iPad Pro 11-inch models with USB-C
- iPad Pro 12.9-inch, 3rd generation or newer
- Newer 13-inch iPad Pro models
Older iPads with Lightning ports should not be used for this configuration.
The exact iPad, hub, Owl, cables, iPadOS version, and conferencing application should be tested together before deployment.
Standard iPad Setup
Meeting Owl 4+ or 5 Pro → compatible powered USB-C hub → USB-C iPad
The iPad runs the meeting. The Meeting Owl provides the camera, microphones, and speakers.
The powered hub:
- Maintains the data connection
- Allows the iPad to remain charged
- May provide additional USB connections
- May add Ethernet or HDMI, depending on the hub
A complete iPad package should include:
- Meeting Owl 4+ or 5 Pro
- Meeting Owl power supply
- Compatible USB-C iPad
- iPad charger
- Powered USB-C hub supporting 20V Power Delivery
- Data-capable USB-C cables
- Power strip and extension cord
- Supported conferencing application
- Reliable internet connection
Extended-Distance iPad Setup
Meeting Owl 4+ or 5 Pro → compatible USB-C extension adapter → powered USB-C hub → USB-C iPad
This configuration allows the Meeting Owl to sit in the center of the room while the iPad remains:
- At the front of the room
- On a podium
- At a control table
- Near a display
- With a meeting moderator or technician
Not every USB extension cable can carry the required power, video, and audio data. The extension equipment must be compatible with the Owl and powered USB-C setup.
Which Conferencing Apps Work With an iPad?
The Owl may be able to send UVC video to the iPad, but the conferencing application must also support an external USB camera and USB audio.
That means iPad compatibility is determined by the complete combination of:
- Meeting Owl model
- iPad model
- iPadOS version
- USB-C hub
- Cables
- Conferencing application
- Application version
Important iPad App Limitations
Even when an app accepts the Owl’s external camera, its iPad version may not offer every feature available in the laptop version.
Potential differences can include:
- Camera-selection controls
- Microphone and speaker selection
- Screen sharing
- Presentation sharing
- Local or cloud recording
- Breakout rooms
- Webinar hosting
- Multiple-display support
- Advanced moderation tools
- Interpretation features
- Virtual backgrounds
- Remote camera controls
- Meeting administration
- File management
- Simultaneous applications
The customer’s account or subscription may impose additional limitations.
Before an important meeting, the complete setup should be tested to confirm:
- Whether the app recognizes the Meeting Owl camera
- Whether it uses the Owl microphones
- Whether sound plays through the Owl speakers
- Whether the iPad stays charged
- Whether screen sharing works
- Whether a connected display works
- Whether recording is available
- Whether the meeting invitation opens correctly
- Whether the customer can sign in
- Whether all required host controls are available
A laptop remains the more universally compatible host, but an iPad can provide a smaller and more portable option when the complete configuration has been verified.
Using a Phone or Tablet as a Wireless Owl Controller
A phone or tablet can also serve a completely different purpose: controlling the Owl while a laptop runs the meeting.
This configuration looks like this:
Wired meeting connection:
Meeting Owl → laptop → display
Wireless control connection:
Phone or tablet running the Meeting Owl app → Meeting Owl
In this setup, the laptop runs Zoom, Teams, Webex, Google Meet, or another conferencing platform.
The phone or tablet does not replace the laptop. It acts as a wireless controller for the Owl.
This can be useful when:
- The laptop is at the back of the room
- A technician is operating the meeting
- The presenter needs camera control
- The Owl is in the center of a large table
- The camera needs to remain focused on a particular area
- The meeting format changes between presentations and discussions
The Meeting Owl does not physically rotate. Its camera continuously captures the room in 360 degrees, while the app digitally selects and enlarges different areas.
Meeting Owl Camera Modes
Additional controls can include:
- Digital pan, tilt, and zoom
- Camera Lock
- Presenter Enhance
- Ignore Zone
- Panorama on/off
- Microphone input level
- Speaker volume
- Paired-device speaker balance
- Image exposure
- Contrast
- Sharpness
- Device pairing
- Default camera settings
- Software and device management
Auto Focus Mode
Auto Focus identifies active speakers and displays closer views of the people talking.
Use it for:
- Board meetings
- Committee meetings
- Team discussions
- Collaborative sessions
Grid Mode
Grid Mode displays up to eight in-room participants in individual boxes.
Use it when everyone should remain visible, even when they are not currently speaking.
Speaker Mode
Speaker Mode follows one main presenter as that person moves through the room.
Use it for:
- Lectures
- Training
- Classroom instruction
- Presentations
Panorama Mode
Panorama Mode shows a stacked view of the complete room.
Use it for:
- Workshops
- Roundtable meetings
- Collaborative planning
- Meetings where body language and the entire room matter
Manual Mode
Manual Mode lets the operator select and lock the camera onto one part of the room.
Use it for:
- Podium speakers
- Product demonstrations
- Static presentations
- Trade show demonstrations
- A group presenting at the front of a room
Meeting Owl Setups for Larger Rooms
A 360-degree camera does not have unlimited range. Larger spaces may require additional microphones or cameras.
Meeting Owl With an Expansion Mic
Meeting Owl 4+ or 5 Pro + Expansion Mic → laptop or compatible iPad setup
The Expansion Mic extends audio coverage for participants seated farther from the Owl.
This is useful for:
- Long conference tables
- Boardrooms
- Quiet speakers
- Medium and large meeting rooms
- U-shaped tables
The Expansion Mic also places a mute control closer to participants seated farther away.
Two Meeting Owls
Meeting Owl 5 Pro ↔ second Meeting Owl 5 Pro → laptop or compatible iPad setup
Two Meeting Owl 5 Pros can be paired to expand camera and audio coverage.
This configuration works well for:
- Large boardrooms
- Long tables
- U-shaped seating
- Larger classrooms
- Training rooms
- Meetings with participants spread throughout the room
Only one Owl connects to the host device. The second Owl expands the room coverage through the supported pairing system.
Pairing rules depend on the model. A Meeting Owl 5 Pro should be paired with another Meeting Owl 5 Pro rather than an older model.
Owl Bar and Meeting Owl
Owl Bar at the display ↔ Meeting Owl 4+ in the center of the room → laptop
The Owl Bar provides a front-of-room view while the Meeting Owl captures participants from the center of the conversation.
The system can select the view that best represents the active speaker or meeting activity.
This is useful for:
- Training rooms
- Executive presentations
- Classrooms
- Board meetings
- Meetings centered around a display
- Meetings that alternate between presentation and discussion
The paired Owl Bar configuration should use a laptop unless the complete iPad configuration has been specifically tested and verified.
Meeting Owl and Whiteboard Owl
Whiteboard Owl + Meeting Owl → laptop → display
The Whiteboard Owl captures and improves the view of a physical whiteboard while the Meeting Owl captures the participants.
This configuration works well for:
- Planning sessions
- Training
- Design reviews
- Classroom instruction
- Brainstorming
- Collaborative workshops
Choosing the Right Meeting Owl Setup
Meeting Owl Limitations and Common Setup Mistakes
The Owl still needs a host device
A Meeting Owl provides the room camera, microphones, and speakers. A laptop or compatible iPad must run the actual meeting.
The Meeting Owl requires power
The Owl is not a battery-powered or completely wireless camera. It must be connected to power and to the host device.
An iPad requires additional equipment
A USB-C iPad has only one port. A powered USB-C hub supporting 20V Power Delivery is needed to connect the Owl while maintaining power.
Not every USB-C cable carries data
Some USB-C cables only provide charging. The Owl requires a cable capable of carrying video, audio, and data.
A 360-degree view does not provide unlimited coverage
Participants may appear in the panoramic view but still be too far away for useful close-ups or clear audio.
External microphones and speakers can affect tracking
Unsupported external microphones and speakers may interfere with the Owl’s speaker-detection system.
For additional audio coverage, use:
- Owl Labs Expansion Mic
- Second compatible Meeting Owl
- Owl Bar in a supported configuration
The Owl does not provide internet
The laptop or iPad still needs:
- Venue Wi-Fi
- Wired Ethernet
- Cellular service
- Dedicated hotspot
- Temporary event network
The room may still need a display
The Owl helps remote participants see the meeting room. The people physically in the room still need a suitable way to see remote attendees and shared content.
The complete setup should be tested
Testing should cover:
- Owl power
- Host-device power
- Internet connection
- Conferencing application
- Camera selection
- Microphone selection
- Speaker selection
- Screen sharing
- Display connection
- Meeting credentials
- Recording
- Camera modes
- Expansion equipment
What Information Is Needed to Quote a Meeting Owl Rental?
Before selecting equipment, answer the following questions:
- How many people will be physically present?
- How many people will participate remotely?
- What is the size of the room?
- How will attendees be seated?
- Which conferencing application will be used?
- Will the meeting run from a laptop or iPad?
- Does the room already have a display?
- Will someone present from the front of the room?
- Will attendees use a physical whiteboard?
- Is reliable Wi-Fi available?
- Is wired Ethernet available?
- Will equipment be needed in one room or several rooms?
- Does the equipment need to be delivered and installed?
- Is on-site technical support required?
- Will the same setup be used for multiple days or locations?
These details determine whether the room needs one Owl, an Expansion Mic, two Owls, an Owl Bar, a display, networking equipment, or a more complete AV system.
