Make This Year’s AGM Feel Different: Temporary Tech for Annual Meetings

An AGM can cover the same agenda and still feel like a new event.

Shareholders and members still need a smooth check-in, a presentation people can actually see and hear, and a vote that works. What should change is the room: check-in that fits this year’s crowd, screens and audio matched to the story (results, a product, a turnaround, people calling in), overflow or a live stream only where you need it, and tablets for the door, the tables, or a vote. Those tablets can be one per person or shared. They do not exist only for ballots.

Renting the tech is how you rebuild the meeting around this year instead of dragging out the same projector and podium, and without buying a permanent AV install.

A results year should feel like a briefing. A product year should feel like a reveal. A vote year should feel like a working session. Next year you change the setup instead of living with last year’s room.

This Year’s AGM vs Last Year’s

The agenda may look familiar. The room should not.

Last year’s default is often whatever the venue already had: one projector, one podium mic, a registration table that hopes the Wi-Fi holds, and the same laptop someone used for a conference call. Fine if the bar is “we held the meeting.” Weak if you want people to show up for a different story.

This year’s setup starts with what you are presenting, then you rent what that needs:

  • Check-in and signs that move the rush at the door: tablets, badge printers, clear directions on a screen
  • Presenter laptops plus a confidence monitor so speakers stay on the story, not the cable
  • Overflow screens or a live stream when the room or the remote list is bigger than last year
  • Tablets for check-in, shared tables, one per person, digital packets, Q&A or polling, floor run-of-show, and electronic voting
  • Branded or useful screens in the lobby, waiting areas, or a short exhibit after adjournment that matches this year’s message
  • A breakout or hallway moment after the formal session when people need to talk, not just watch a replay
  • A named person for check-in, the stage, the remote feed, and voting. Not “someone from the venue”

You still need a working check-in, a main laptop plus a backup, sound and screens that reach the back row, a remote option when people cannot be there, and a vote rehearsed on the same Wi-Fi the meeting will use. Renting is how that changes every year: delivery, setup, support, and pickup for this agenda, then the gear leaves.

Start With Scale

Know what this year needs before you size the quote.

Small AGMs (boardrooms, small association halls, executive suites) usually need a tight kit: presenter laptop plus backup, a display that fits the room, tablets for check-in and table use, and a dedicated laptop for the remote feed.

Mid-size AGMs (hotel ballrooms, campus auditoriums, regional member meetings) start to look like a short production day: more check-in devices, house sound and inputs confirmed in writing, and a separate internet line when a live stream and voting traffic would otherwise share one weak connection.

Large, multi-company, or convention-style AGMs act more like multi-room events: a registration hall, overflow seating, breakout or exhibit space, staff radios, and a heavier remote or broadcast setup. Plan for the busiest moment, not the average headcount.

That list is a starting point, not the whole catalog. If the meeting also needs audio, printers, power, furniture, extra displays, streaming gear, or something odd but reasonable, we can rent or source it. Tell us the agenda. We’ll spec the room.

Start with our meeting technology rentals page, then add tablets, networking, and extra production help as the meeting grows.

Check-In and Badges

First impressions happen in line. Plan enough tablets or laptops for the rush, badge printers that do not block the queue, spare devices already set up the same way, and a simple backup if the check-in tool slows down. Size the desk for the crush after doors open, not the quiet middle of the morning.

Association AGMs often run on a small tablet or iPad set plus staff laptops. Corporate and multi-company meetings may need more laptop rentals at the desk. Nonprofits and associations can also start from our nonprofit and association technology rentals page.

The Main Session

This is the part people remember: leadership on the results, resolutions on a screen you can read, and a room that feels like someone planned it. Renting the kit lets you build this year’s presentation without a permanent AV install, and it keeps a good meeting from looking amateur when a cable or a laptop dies.

Use a primary presenter laptop and a backup already loaded the same way, screens or a projector readable from the back row (and in overflow if you need it), a confidence monitor and a simple clicker so executives look at the room, mics that fit the space, and a labeled bag of adapters for the inputs the venue confirmed in writing. Tablets or a handout station for digital packets beat a stack of late photocopies.

Small rooms should look like a board meeting. Larger rooms need sightlines and sound as much as a good slide deck. Match the kit to the seats and to this year’s story, not to last year’s leftover gear.

Remote Shareholders and Members

A lot of AGMs now include people who cannot be in the room. “We tested it on someone’s laptop” is not a plan.

Give the remote feed its own laptop and a known internet line, mics that pick up questions from the floor, a rehearsal with at least one real remote attendee on the real platform, and one person in the room watching that feed live. If you need walk-through screening or extra production gear, we can source it.

If the AGM is also a broadcast, see our guide to temporary live streaming setups and video production support.

Voting That Holds Up

Voting is the moment that cannot fail. Whether you use tablets or iPads, a bring-your-own-device tool, or a mix with paper ballots, rehearse it on the meeting network.

Plan for everyone voting at once, internet that is not also carrying a live stream, a results screen if you need one, and a written backup plan. Rentacomputer.com does not provide the voting software. Devices usually come from tablet and iPad rentals, with displays and presenter laptops on the same quote.

Internet and Spares

Get venue AV inputs, house sound, power, and load-in in writing. If check-in, remote attendees, or electronic voting depend on the network, rent event internet or hotspots instead of hoping venue Wi-Fi can carry every tablet, vote, and stream at once.

Keep a backup presenter laptop already set up the same way, spare check-in and table tablets, a charging plan, and radios or phones for floor staff. For multi-room hotel AGMs, on-site IT support or event production help matters as much as the stage screen.

A Simple Planning Pass

  • Name what should feel different this year vs last year (the story, the crowd, who is remote)
  • Confirm venue AV, power, load-in, and what “venue Wi-Fi” actually supports
  • Size check-in for the rush; include spares and a backup if badges fail
  • Lock presenter laptop plus backup, screens, and audio to the room
  • Rehearse the remote feed with a real person on the call
  • Rehearse voting on the meeting network and write down a backup
  • Assign one person each for check-in, the main session, the remote feed, and voting
  • Put delivery, setup, support, and pickup on the same timeline as the agenda
